Tracking Staff & Teacher Attendance

TL;DR: Track teacher and staff attendance separately from students — with daily check-in, leave tracking, and integration with payroll for salary calculations.


Staff Attendance Methods

Setting Up

  1. Go to Settings → Attendance → Staff Attendance.
  2. Choose your method.
  3. Set working hours (e.g., 8:00 AM — 3:00 PM).

Daily Staff Attendance

Admin Marking

  1. Go to Attendance → Staff Attendance → Mark.
  2. See all staff listed by department.
  3. Mark: Present / Absent / On Leave / Half Day.
  4. Submit.

Self Check-In

  1. Staff logs into EduSuite OS.
  2. Clicks Check In on their dashboard.
  3. At the end of day, clicks Check Out.
  4. Time is logged automatically.

Leave Integration

When a staff member has an approved leave:

  • They're automatically marked as "On Leave" in attendance.
  • No manual marking needed for approved leaves.

Reports

  • Daily Staff Attendance — Who's present today
  • Monthly Staff Report — Working days per staff member
  • Punctuality Report — Late arrivals, early departures
  • Department-wise — Attendance by department

Payroll Integration

Staff attendance data feeds directly into payroll:

  • Present days → full salary
  • Absent days (unapproved) → salary deduction

Troubleshooting

Q: Staff member checked in but attendance shows absent. A: Check if they checked in within the allowed window. Late check-ins after the cutoff may be flagged differently.

Q: Leave not reflecting in attendance. A: Ensure the leave was approved by the supervisor. Pending leaves don't auto-mark attendance.
