Complete guide to enrolling new students in EduSuite OS — from data entry to class assignment and parent account creation.

How to Enroll New Students Step by Step

TL;DR: Add students one-by-one through a simple form, or use bulk import for multiple students. Each enrollment auto-creates the student profile, assigns fees, and optionally invites parents.


Individual Enrollment

  1. Go to Students → + Add Student.
  2. Fill in the enrollment form:

Required Information

  • First Name and Last Name
  • Class and Section
  • Date of Birth
  • Parent/Guardian Name
  • Parent Phone Number

Optional Information

  • Admission number (auto-generated if blank)
  • Email address
  • Gender, blood group, religion, category
  • Previous school details
  • Address
  • Photo upload
  • Emergency contact
  • Medical information
  1. Click Enroll Student.

What Happens After Enrollment

Once a student is enrolled:

  1. Student Profile created with unique ID
  2. Fee Structure auto-assigned based on class
  3. Attendance — student appears in class roll call
  4. Parent Account — invitation can be sent immediately
  5. Admission Number — auto-generated (or manual if entered)

Enrollment from Admission Pipeline

If you use the Admissions module:

  1. Approved applicants appear in Admissions → Approved.
  2. Click Convert to Student next to the applicant.
  3. Data from their application pre-fills the enrollment form.
  4. Review, assign class, and click Enroll.

Mid-Year Enrollment

Enrolling students after the academic year has started:

  1. Follow the normal enrollment process.
  2. Under Enrollment Date, set the actual joining date.
  3. Fees will be pro-rated from the enrollment date (if configured).
  4. Attendance tracking starts from the enrollment date.

Troubleshooting

Q: "Class is full" error. A: Check the section capacity in Settings → Academics → Classes. Increase the capacity limit or create a new section.

Q: Admission number conflict. A: If you enter a manual admission number that's already taken, EduSuite OS will flag it. Use a different number or let the system auto-generate.

Q: Parent didn't receive the invitation. A: Go to the student profile → Parent Details → verify phone/email. Then click Resend Invitation.
