Configuring Email Notifications & Templates

TL;DR: EduSuite OS sends automated emails for key events — fee reminders, absence alerts, announcements, and more. Customize templates with your school branding and choose which notifications go out.


Default Email Notifications

EduSuite OS sends these emails automatically:

Managing Notifications

  1. Go to Settings → Communication → Email Notifications.
  2. Toggle each notification type ON/OFF.
  3. Set recipient preferences (parent, staff, student, admin).

Customizing Email Templates

  1. Go to Settings → Communication → Email Templates.
  2. Select a template to edit.
  3. Customize:

Template Elements

Email Sender Configuration

Default Sender

Emails are sent from notifications@edusuiteos.in by default.

Use your school's email domain:

  1. Go to Settings → Communication → Email Sender.
  2. Enter your email (e.g., noreply@yourschool.edu).
  3. Verify domain ownership (add DNS records).
  4. Emails now come from your school's address — higher trust, better delivery.

Email Delivery & Reports

  1. Go to Communication → Reports → Email.
  2. View:
    • Total emails sent
    • Delivery rate
    • Open rate
    • Bounce rate
    • Click-through rate (for emails with buttons/links)

Troubleshooting

Q: Emails going to spam. A: Set up custom sender domain with SPF, DKIM, and DMARC records. This greatly improves deliverability.

Q: Parent says they didn't receive any email. A: Check: (1) Email address is correct in student profile, (2) Email isn't bouncing (check delivery reports), (3) Ask parent to check spam/junk.

Q: Can I send a test email? A: Yes. On any template, click Send Test and enter your email address to preview.
