Sending School-Wide Announcements & Notices

TL;DR: Create an announcement, choose your audience (all, specific classes, staff only), and publish via in-app notification, SMS, or email. Parents see it instantly on their portal.


Creating an Announcement

  1. Go to Communication → Announcements → + New.
  2. Fill in:
    • Title — Clear, descriptive headline
    • Body — Details (supports rich text formatting)
    • Attachments — PDFs, images (optional)
    • Priority — Normal, Important, Urgent

Choosing Your Audience

Delivery Channels

Choose one or more:

  • In-App (free) — Appears in the portal notification bell and announcement feed
  • Push Notification (free) — Pop-up on PWA-installed devices
  • SMS (paid) — Direct text to phone numbers
  • Email (free) — Sent to registered email addresses

Scheduling

Send immediately or schedule for later:

  1. Toggle "Schedule" when creating.
  2. Set date and time.
  3. The announcement publishes automatically at the scheduled time.

Tracking

After publishing:

  1. Go to Communication → Announcements → [Announcement].
  2. View:
    • Delivery Status — Sent / Delivered / Failed
    • Read Count — How many opened it
    • SMS Delivery — Delivered / Pending / Failed
    • Email Opens — Open rate percentage

Templates

Save time with announcement templates:

  1. Go to Communication → Templates → Announcements.
  2. Create templates for recurring announcements:
    • Holiday notice
    • PTM reminder
    • Exam schedule
    • Fee due reminder
    • Event invitation

Troubleshooting

Q: Announcement didn't reach some parents. A: Check if those parents have registered on the portal. Unregistered parents only receive SMS/email (not in-app).

Q: Can parents reply to an announcement? A: Announcements are one-way broadcasts. For two-way communication, use Direct Messaging.

Q: Can I edit an announcement after publishing? A: Yes. Go to the announcement and click Edit. Updated content is reflected immediately. A "Modified" badge appears.
