Direct Messaging Between Teachers & Parents

TL;DR: Teachers and parents can message each other directly within EduSuite OS — like a professional chat system with read receipts, attachments, and full audit trails.


How It Works

  • Messages are sent within the EduSuite OS platform (not SMS or WhatsApp).
  • Both parties access messages through their respective dashboards.
  • All messages are logged and auditable by admin.

Sending a Message (Teacher Side)

  1. Go to Messages → + New Message.
  2. Select the recipient:
    • Search by student name → message goes to their parent(s)
    • Or select from your class student list
  3. Type your message (supports rich text).
  4. Attach files if needed (images, PDFs, documents).
  5. Click Send.

Quick Message from Student Profile

  1. Go to Students → [Student].
  2. Click Message Parent.
  3. Compose and send.

Receiving Messages (Parent Side)

  1. Parent logs into the portal or PWA.
  2. Notification badge appears on the Messages icon.
  3. Click to read and reply.
  4. Parents can also initiate conversations with their child's teachers.

Group Messages

Message all parents of a class at once:

  1. Go to Messages → + New Message.
  2. Select "Class Group" instead of individual.
  3. Choose the class/section.
  4. Compose your message.
  5. Each parent receives it as an individual thread (not a group chat).

Admin Oversight

Admins can:

  • View all messages sent within the school (audit log)
  • Moderate flagged messages
  • Set messaging policies (e.g., restrict messaging hours)
  • Export message logs for records

Messaging Policies

Configure messaging rules:

  1. Go to Settings → Communication → Messaging Policy.
  2. Options:
    • Allow parent-initiated messages — ON/OFF
    • Message hours — e.g., 7 AM - 8 PM only
    • Auto-reply outside hours — Custom out-of-hours message
    • Attachment size limit — Default 10MB

Troubleshooting

Q: Parent says they can't message the teacher. A: Check if parent-initiated messaging is enabled in Settings. Also verify the parent has a registered portal account.

Q: Messages aren't sending. A: Check your internet connection. If the issue persists, clear browser cache and try again. Contact support if it continues.

Q: Can I delete a sent message? A: Messages can be recalled within 5 minutes of sending. After that, they remain in the record for audit purposes.
